Howard House/Garrison Place will be hiring one full-time permanent Administrative Assistant-Residential
Summary:
Under the supervision of the Residential Manager, the Administrative Assistant provides support to all staff of Howard House and Garrison Place, to ensure efficient and effective office procedures
Responsibilities:
- Responds to telephone and in-person inquiries from clients, outside agencies and the public. Forwards inquiries as appropriate.
- Clerical duties as required.
- Maintains a current master file of operational documents, as well as electronic and manual files
- Ensuring operation policy and standards are current.
- Reconciles petty cash, bank statements and invoices as required.
- Distributes incoming and outgoing mail.
- Attends meetings and records minutes and distributes minutes.
- In conjunction with the residential manager solicits, screens and provides orientation to volunteers.
- Organize and maintains scheduling of volunteers
- Maintains inventory and purchases supplies as required
- Engage in residential duties as required including floor supervision when needed.
- Contributes to the orientation/training of staff/interns/volunteers.
- Engages in professional development as required.
- Ensures confidentiality guidelines are met regarding staff and client information.
- Shares responsibility for maintaining a safe, secure environment for both staff and clients.
- Performs other related duties as required by the Residential Manager.
Qualifications:
- Minimum one-year education in Office Administration, Business Management or equivalent combination of education and experience.
- Experience as an Administrative Assistant would be an asset.
- Experience in not-for-profit sector would be an asset.
- Proficient in appropriate computer software.
- Excellent oral and written communication skills.
- Excellent interpersonal skills.
- Able to manage time effectively.
- Ability to work independently and as part of a team.
- Multilingual skills and multicultural competence are an asset.
- Certificate of conduct.
- Certificates in Emergency First Aid and CPR.

Salary: 22.13 / hour 75 hours bi-weekly, with shift differential as applicable per collective agreement.
